You’re assigning tasks—but they keep bouncing back.
You told someone to take care of it.
They said “Got it.”
But a week later, it’s either sitting unfinished… or worse, it’s back on your plate.
This is the reality for most small business leaders: delegation that doesn’t stick.
It looks like delegation. It feels like delegation. But it doesn’t work like delegation.
Why?
Because tasks don’t equal ownership. And checklists aren’t leadership.
You don’t have a delegation problem—you have a handoff problem.
Most business owners “delegate” like this:
“Hey, can you handle this?”
That might work for Amazon returns. But for high-stakes, repeatable work that impacts your team and customers, you need more than a task handoff.
You need a system that teaches people how to own the outcome.
Here’s how to do it in three levels.
The 3-Level Delegation Handoff Model
1. Expectation
What to do: Be crystal clear about what success looks like.
Why it matters: Vague assignments breed confusion and do-overs. Your team can’t read your mind. Spell out the outcome, timeline, and any key constraints.
Instead of: “Work on the Johnson proposal,”
Say: “Have a client-ready proposal for Johnson on my desk by Thursday at noon.”
2. Equipping
What to do: Ask yourself: Do they have what they need to succeed?
Why it matters: If you delegate without tools, training, or authority, you’re setting them up to circle back with questions—or worse, fail quietly.
Equip with: templates, examples, decision-making guardrails, point people.
3. Empowerment
What to do: Make it clear that they own it.
Why it matters: Ownership doesn’t happen unless it’s explicitly handed over. Your team needs to hear that you trust them—and that you won’t jump back in at the first hiccup.
Try: “You’ve got full authority on this—take the lead, and just keep me updated.”
From task doer to team leader
Delegation that sticks requires more than a to-do list. It demands leadership.
When you set expectations, equip well, and empower boldly, you don’t just get tasks done—you build capacity.
And that’s what scales your business.
That’s what frees up your time.
That’s what grows leaders, not just workers.
